Who we are
Humanly Systems Ltd (“Humanly”, “we”) runs humanly.is and is the controller of the personal data described here under the UK GDPR and the Data Protection Act 2018. Address: United Kingdom. Contact: hello@humanly.is.
This policy covers this website and its forms. Apps we list that have their own websites (for example Zyphr and Travllr) have their own privacy policies, which apply to those apps.
What we collect
Browsing. We do not use analytics, advertising or tracking cookies, and we do not set any cookies ourselves. The site is hosted on Cloudflare, which processes technical request data such as your IP address and browser details to deliver the site and protect it from attacks. Our Cloudflare logs may keep request details for a short time for debugging.
Contact and project forms. When you send a form we receive what you enter: your name, email address, company (optional), your message and any options you choose. We use it only to reply to you and, if we work together, to plan that work.
Spam protection. Messages identified as spam are not emailed to us. We keep a short log entry (the reason and the email address given) so we can check the filter is working.
Rate limits. To stop abuse we store a one-way hash of your IP address for up to one hour when you send a form, and for up to three hours when you use the “Rewrite with AI” button. We cannot turn the hash back into your IP address.
Your browser. After you use the AI button, your browser stores a timestamp in its own local storage so the button can show when it is available again. This stays on your device and is not sent to us.
Cloudflare Turnstile
Our forms are protected by Cloudflare Turnstile in invisible mode. It runs in the background when you send a form, checks signals from your browser and device to tell people from bots, and does not show a puzzle.
Turnstile is provided by Cloudflare, Inc. Its processing is described in Cloudflare’s Turnstile Privacy Addendum and the Cloudflare Privacy Policy. We use Turnstile to keep spam and automated abuse out of our inbox.
AI processing
When our AI features are switched on, the text you submit through a form is sent to an AI model run by Ollama (Ollama Cloud) to check whether it is spam and, if it is not written in English, to translate it for us. If you press “Rewrite with AI”, the note you typed is sent to the same service to be rewritten, and the result is shown to you before anything is sent.
We do not use your messages to train models. Ollama’s handling of the data is described in the Ollama privacy policy.
Why we are allowed to use it
We rely on legitimate interests to reply to messages you send us, to keep the site and forms secure and free of spam, and to keep a record of enquiries. Where you ask us about work, we also rely on taking steps at your request before entering into a contract.
Who we share it with
We use a small number of service providers who process data for us: Cloudflare (hosting, security, Turnstile and email delivery), Ollama (AI screening, translation and rewriting, when enabled) and our email provider (to receive your message). We do not sell personal data or share it with advertisers.
These providers may process data outside the United Kingdom. Where they do, they rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or adequacy regulations.
How long we keep it
We keep enquiry emails for as long as we need them to deal with your enquiry and any work that follows, and we delete them within 24 months of our last contact unless we are working together or the law requires us to keep them longer. Hashed IP records for rate limits expire after one to three hours. Short technical logs expire automatically.
Your rights
You can ask us for a copy of your personal data, ask us to correct or delete it, ask us to restrict or stop using it, and ask for it in a portable format. Email hello@humanly.is and we will reply within one month.
If you are unhappy with how we handle your data, you can complain to the Information Commissioner’s Office. We would appreciate the chance to fix it first.
Children
This site is not aimed at children under 13, and we do not knowingly collect their personal data.
Changes
If we change how we handle personal data, we will update this page and the date at the top.
